What we collect and why
Contact and enquiry data. When you fill in the contact form, book a strategic call or email us, we receive the details you share: name, email address, phone number, company and your message. We use these to answer you and to prepare the conversation you asked for. Legal basis: taking steps at your request before entering into an agreement, and our legitimate interest in responding to enquiries.
Client and project data. When we work together we process the data needed to deliver the agreement: contact details of the people involved, briefings, access to systems you give us and invoicing details. Legal basis: performance of the agreement and our legal obligations (such as tax record keeping).
Website usage data. This website is hosted on Netlify. Netlify processes technical data such as your IP address, browser and the pages requested in order to serve the site securely. We use privacy-friendly analytics without cookies where possible. See the cookie policy for the tools in use.
Scheduling. Strategic calls are booked through Calendly. Calendly processes the details you enter when booking under its own privacy policy.
How long we keep data
Enquiries are kept for as long as needed to handle them, and at most two years after the last contact. Client and invoicing records are kept for seven years, which Dutch tax law requires. Technical logs are kept for the short periods set by our hosting provider.
Who receives data
We share personal data only with processors we need to run the business: hosting (Netlify), email and scheduling (Calendly), accounting and the tools agreed for a project. Each works under a data processing agreement or its own GDPR terms. Some providers process data outside the European Economic Area under the EU Standard Contractual Clauses or an adequacy decision. We never sell personal data.
Your rights
You can ask us to access, correct, delete or export your personal data, to restrict or object to processing, and you can withdraw consent at any time. Email info@viralistic.nl and we respond within one month. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
We protect data with access control, encrypted connections (HTTPS) and the security measures of the providers named above. Access is limited to the people who need it for the work.
Changes
We update this policy when our practices or the law change. The date at the bottom of this page shows the latest version.
